Updated Policy for Event Participation

We are implementing the following updated policies to ensure fairness and smooth operation of our pickleball events.

Please read carefully, as these changes will be strictly enforced.

Check-In Deadlines
● Morning and Afternoon Events: Players must check in by 6:00 PM the day before the
event.
● Evening Events: Players must check in by 12:00 PM (noon) on the event day.

No Show Policy
Failing to show up without proper notice impacts other players who arrive ready to play,
especially when the required fourth player is missing. To ensure fairness:
● First No-Show: A one-time exception may be granted under exceptional circumstances.
● Subsequent No Shows: A 14-day suspension from all events.

Late Cancellation Policy
● Definition: A late cancellation is a removal from the event less than 3 hours before the
event starts.
● First Offense: Written warning.
● Second Offense: 14-day suspension from all events.

Player Responsibilities
1. Checking In:
○ Use the “Time to Check-In” email sent 24 hours before the event to confirm your
attendance. If you cannot attend, select “No.”
○ Check the event page to ensure a check-in time is indicated or that you were
removed.
○ No reminders will be sent. It is your responsibility to confirm your status.
2. Unable to Play:
○ If you are uncertain about your availability the day before or day of the event, you
should remove yourself from the event.
○ If you change your mind, email us at yorkregiongtapickleball@gmail.com, and
we will try to accommodate you, but there are no guarantees.
3. Technical Issues:
○ If you experience check-in issues, email yorkregiongtapickleball@gmail.com
promptly to notify us of your intent to play.
4. Removing Yourself:
○ If you remove yourself, confirm on the event page that your name has been
removed.

Refund Policy
● Leagues and Events: No refunds for leagues or if you withdraw 24 hours before an
event. Admin fees apply and players must email us with a request for a refund once they
have removed themselves from the event.

Penalties for Non-Compliance
● No Shows:
○ First offense: One-time exception may apply.
○ Subsequent offences: 14-day suspension from all events.
● Late Cancellations (within 3 hours of event start):
○ First offense: Warning.
○ Second offense: 14-day suspension.
● Exceptional Circumstances:
○ Consideration will be given to emergencies or unavoidable situations on a
case-by-case basis.
